Full Charge Bookkeeper / Office Manager / Project Manger Assistant
Current•Perform various daily, weekly, and monthly administrative functions by processing the following: payroll, AP, AR, collections, petty cash, deposits, month-end closing, reconciliations, union reports, union subsidy requests, journal entries, excise tax filings, and quarterly tax filings. •Prepare W-2s and 1099's. Provide files to CPA and review forms for federal tax.•Maintain company licenses, insurances, and vehicle registrations. •L&I account management: intent & affidavit filing, certified payroll, and workers compensation claims.•Perform internal audits to maintain compliance with company policies and state/federal laws. Also, gather requested materials and reports for external audits.•Provide business development and growth support by identifying, researching, and analyzing problems to identify alternative solutions, and project consequences of proposed actions.•Assist with administrative functions including Human Resources, Safety, Estimating, and Construction Materials. •Assist project managers with preliminary paperwork, submittals, letters, subcontractor approvals, change order submittals, schedules of values, project schedules, ect.•Review and recommend changes as necessary to contracts and subcontract documents to ensure timely, accurate, and efficient processing and compliance.•Perform large job setups, contract billings, lien waivers, COI, and retainage collections to ensure accuracy, timeliness, and cost-effectiveness.•Maintain facility maintenance and home warranty vendor accounts including obtaining work authorization, operate and invoice vendor portals, review of contracts, and customer support liaison. •Answer phone calls, dictate messages, advise customers of scheduling availabilities, and receive authorization for diagnostic charges.•Assist field operations with informational inquiries to ensure a productive work environment.•Provided IT assistance and troubleshooting of computers and various office equipment.•Inventory management
