Senior Team Coordinator responsible for working across multiple teams as part of a Functional Support Office, Assistant to the Director and five Heads of, and point of contact for the wider engineering and supply chain team of approximately 225 people. Responsibilities include:- Line management of 2 Administrative Assistants- Project work, including most recently; - coordination of a department-wide global livestream - initiated a project to streamline the departments' onboarding training session process and led a project to develop a brand new training session as part of this process- Training of new starters to the Functional Support Office team; including temporary staff- Deputising for Programme Manager as and when required- Diary management; scheduling Director and Senior Leadership meetings- Complex travel arranging- Attending weekly Senior Leadership and Operational Meetings; note taking, capturing actions- Expense management- Event Management- On-boarding new starters to the department and coordinating with Recruitment, People, Benefits, IT, and Reception teams- Scheme Coordinator for the Engineering Graduate Scheme; coordinating the 2 year scheme for c.40 grads- Management information reporting; producing monthly holiday and business travel reports - Monthly Board reports – coordinating the completion of the monthly report; ensuring updates are made in a timely manner, updating RAG report and charts, and scheduling review meetings- Organising supplier meetings both internally and externally; including site visits to CFC’s, external meeting venues, transport, PPE and catering- Creating and managing purchase orders within the Oracle Fusion system
