Executive Associate/Assistant to President(CEO)* Assist President/CEO in the management of eight residential properties; including dictation of all communications, email management and occasional phone calls.* Accounts payable and accounts receivable, including printing checks, payroll, commissions, bank deposits and monthly bank reconciliations.* Prepare annual budgets for each of the eight properties and submit for approval.* Commission tracking and compensation for on-site managers.* Project invoicing and project bill backs for non-management expenses.* Vacancy rate tracking and charting for monthly reports.* Create and distribute weekly, monthly and yearly financial reports for eight properties.* Process reserve reimbursement requests from various mortgage companies for capital improvements made at eight properties.* Tenant collections (in-house and Allstate Collections).* Maintain and update advertising (print and online).* Process 30-Day Notices for tenants from all of the properties.* Notary (Wayne County, Expires August 1, 2020).* Process applications for cooperative property and facilitate the occasional closings on unit purchases, sales and transfers.* Maintain inventory of all printed materials and forms; including the creation of new forms or the revision of old forms when required.* Prepare and submit all incident reports to the insurance company for all properties.* Prepare and submit all workers compensation claims the worker’s compensation insurance company for all employees of all properties.* Utility tracking, charting, payment and bill backs for all utility services provided to all properties.* Track employee training to ensure proper Fair Housing education and Section 8 training where required.
