Project Specialist - Facility Maintenance• Maintain Maximo data base for Facility Maintenance.• Set up new stores in Vendor Management System within Maximo so that work orders can be created for repairs.• Prepare work orders for equipment inspections and process invoices in Maximo.• Liaison between Operations Team and Energy Management System Vendor (Danfoss) regarding Refrigeration Equipment Alarms received.• Receive and process invoices for Preventive Maintenance work and keep excel spreadsheet up to date to track data as a management tool for the Facility Managers.• Provide administrative support to Facility Managers with day-to-day operations.• Liaison between Facility Maintenance Team and vendors to have yearly Vendor Service Contracts signed and returned for approved vendors in Maximo data base.• Review and keep the invoice process flowing in Maximo.• Update contact information for District Managers, Business Unit Directors and Store Managers for use by Facility Maintenance Managers.• Collaborate with Asset Management Group to provide information for charges to be billed back to the Landlord by researching Maximo data base.Project Specialist - New Store Construction• Prepare bid invitations, contracts, and change orders for SAL New Store Construction projects.• Prepare purchase orders and process pay applications in Oracle Accounting System for construction projects.• Record costs on Project Cost Reports in Excel – including purchase orders for construction and equipment orders, payments, tax and freight.• Run Oracle Accounting reports and analyze data to verify accuracy with cost reports and correspond with Property Accounting and SAL Accounting to make corrections when necessary to correct discrepancies.• Provide administrative support to Project Managers.• Serve as liaison for Contractors, Architects and vendors.• Provide cost tracking information to Director and Project Managers to keep their projects within budget.
