The Office Admin Clerk is accountable to the Executive Director for all duties carried out and related to shelter and non-shelter. Maintains courteous communications with our tenants, general public and any others in contact with the organizations office. - Prepare work orders, by using HM WORX and ensures their completion by super and completes in HM WORX.- Prepare new tenant files with all required forms and ensures they are completed.- Books events, in the banquet and meeting rooms, prepares contracts and collects payment. - Monitors all contractors signing in and out of building for related projects.- Answers telephones, and direct calls. - Answers tenant inquires. - Receives Incident Report forms and forwards to the Executive Director. - Receives tenant complaints and forwards to the Executive Director. - Places maintenance calls for routine repairs, to service and equip contracted companies as per instructed. - Assists Superintendent in Apartment Inspections. - Keeps Equipment Maintenance Book updated. - Replenishes all forms, outside office supplies and vehicle permit forms. - Keeps event calendars up to date.- Updates boards on all floors.- Ensures that the Personal Information Protection and Electronic Documents Act (PIPEDA), Housing Services Act (HSA), and Occupational Health and Safety Act (OHSA) legislations are adhered to in order to protect the privacy and confidentiality of all applicants, tenants, employees, board members, volunteers, and other stakeholders.
