Executive Assistant To The City Manager

Current

Louisville, Colorado, United States

As the Executive Assistant to the City Manager, I represent the City Manager's Office within the organization, towards elected Councilmembers, and to the public. I manage the City Manager's and Deputy City Manager's schedules, event registration, travel arrangements, expense reporting, and meeting logistics. I also provide meeting, travel, and general administrative support for City Council. Because the city's departments are spread between multiple locations, I brought together all of the administrative staff as a team to provide support and learning opportunities across the organization. I have identified and am working towards improving paper processes to be more efficiently managed within our financial system. I documented our purchasing and payment process workflows and have coordinated with the City Manager, multiple directors, and staff to move forward with updating purchasing policies and payment processes. I assist with budget development and track the City Manager's budget. When I realized that the IT department did not have any administrative support, I suggested to the City Manager that I could offer procurement support as a pilot project to allow the IT team to focus on their many technical projects. As a result, I have become a central resource for staff on procurement and payment process questions. I also provide administrative support to the four departments within the City Manager's Office. During my first year with the City of Louisville, I supported the communications team and used my graphic design skills in the design and development of a weekly staff newsletter, certificates, and event invitations. I also designed a commemorative pin for staff in appreciation for all their hard work with the Marshall Fire recovery.I approach my work with courtesy, professionalism, and an eye towards efficiency and process improvement. I work well independently and enjoy working with teams to create a supportive environment and build cohesiveness.

I was responsible for managing program budgets through fiscal monitoring and analysis, formulation and presentation of budget information, and implementation of operational processes and policies. Senior Executive Assistant To The Cio

Boulder

As the Senior Executive Assistant to the CIO, I worked with staff throughout the diverse university community at almost every level, both at the Boulder campus and across the other three campuses that comprise the University System. I supported the CIO and Deputy CIO by managing calendars, travel, expenses, coordinating meetings and communicating to staff inside and outside of the organization. My responsibilities required a high level of professionalism, strong organizational skills, confidentiality, tact and the ability to take initiative. After six months of supporting the Deputy CIO, my hard work, attention to detail and ability to anticipate organizational needs resulted in getting promoted to Senior Executive Assistant for the organization and increasing my responsibilities to include supporting the CIO. I eventually took on multiple special projects and we hired another Executive Assistant who reported to me and provided additional support of the CIO's office.

Executive Assistant

Boulder, Co

As the Executive Assistant to the Observatory Director I had the exciting opportunity to exercise my initiative and take on a large variety of tasks and projects in addition to the typical requirements related to this administrative role. Over the course of my first year, I picked up several high profile tasks and responsibilities (NEON Letters of Support, conference and publication tracking, and Administering the IACUC). I also assisted the CEO office in completing the final report for our R+RA award under a very tight deadline. When the observatory project reached the point of needing to transition completed portions of the observatory to the Operations award, I diligently researched funding agency requirements, met with staff to discover current processes and identify inefficiencies. I then developed the process and SharePoint web sites to provide required deliverables to the funding agency, NSF, for their approval. As a result I was put in charge of the process from start to finish and became a key contact for the funding agency.I am always looking for tools to assist me with planning and organizing my work and it is important that I remain flexible so that I am able to consistently meet deadlines.
