Purchasing Coordinator
Current* Build New Community within Newstar Enterprise with plans/elevations, options to plans, enter costs to options, and base sale prices per plan.* Assist Purchasing Agents in the many steps prior to sending out bid requests & frame walk changes to trades.* Purchase Orders, Change Orders and Void PO’s.* Run Bidders Spreadsheets from Newstar prior to going out to bid or obtaining new reduction in costs from trades.* Run Iris bid comparison reports and average costs out for base & options per trade groups for returned bids for analyze of crafts costs and for future possibility of an audit.* Create and send out vendor contracts to be signed for being awarded community jobs. * Tracking returned bids by utilizing excel reports from prospect vendors and sending out reminders.* Audit vendor contract files.* Run Various Iris Reports such as PO Details, Take-Offs & Sub-Contractor Price Agreement to name a few.* Manage Audit requests from Finance/Auditors in a timely manner.* Liaison to Ebix Insurance System at the Division level. Consists of setting up new division trade partner with all the vital required fields filled-in on account. Plus upload to their Ebix file Trades W-9 and Initial Insurance documents. Maintain Divisions excel Ebix Contact List.* Assist in creation, proofing and maintenance of Divisions Master Scope of Works and that all active Trade Partners have signed the most current version and that the executed version has been saved to our TM360 account storage system.* Handle new prospect trade partners with what is required to getting them approved and into our database and following it all the way through the process.* Maintain several excel sheets for the department such as prospect bidders list, current active trade partner list, Ebix Contact List and tracker reports on bids gone out & returned plus signed agreements.* Participated and succeeded in the AS400 conversion to Newstar Enterprise.* A member of the Chicago Charitable Giving Committee
