Due to the mining boom around Australia I was fortunate enough to become the Project Administrator on the Narrow Project in Gladstone. The project was to install piles to facilitate gas pipelines from Curtis Island to Gladstone. Key responsibilities• Ensure the SWMS/JHA are in place daily for the job in hand• Take account of each piles depth and torque used and then incorporate my finding into a daily report including a spread sheet showing calculations at the end of each day for the engineers comments and/or approval• Onsite liaison to MCJC Site Supervisor and/or Client• Assist with Operators as an offside to help complete work on time• Daily prestart checks on the excavators• Working around machines/machine operators • Hand held radio procedures in and around the sites• Rules, regulation and procedures in driving onsite vehicles• Set out safe boundaries zones so the operators and other offsiders are able to focus on the job at hand• Dogging operators to a safe working area• Eyes/Navigator for the operators blind spots• Machine wash down in order to pass weed and seed so they can be taken off site• Correct use of PPE, SWMS/JHA, lifting methods, managing boundaries etc.

Prepare and maintain appropriate tenant lease files, records, correspondence and file notes. • Coordinate entry of all property information into the software program and establish reporting protocols for maintenance requests, preventative maintenance, vendor and tenant Certificates of Insurance and key lease date tracking. Monitor all key dates and reporting within the Building Engines system. • Coordinate production and ordering of signs, tenant identification, etc. • Produce monthly and annual reports. • Preparing of transaction related documents. • Maintain contact and other databases for company. • Coordinate regular inventories of all business property. • Sort, code and ensure accuracy and compliance with contracts of all property related invoices. • Coordinate and schedule appointments, on-site & off-site meetings and conference calls. • Collect and organise all property information in a format for quick reference. • Detailed verification of all invoice amounts and information with approved Service Orders or Contracts. • Investigate cost reduction opportunities.

Responsible for a large portfolio consisting of approximately 90% residents management company (lessee) owned/controlled properties, the remainder investor freeholders and commercial property management attached to the residential properties.Key responsibilities• Liaising with Site Staff/Caretakers/Building Managers where appropriate on identified areas of maintenance concern and ensuring follow up action• Regularly reviewing Cyclical Repairs and assessing the adequacy of Reserve/Sinking Funds• Issuing Sec. 20 Notices having advised clients fully including any CDM Regulations implications• Project Managing e.g. drafting a schedule of works to tender for either small design and build, external and internal repairs and redecorations, meeting contractors and other professionals - Engineers and/or Surveyors regarding major works on behalf of the clients• Reporting/liaising with clients on applications for alterations, possible structural problems etc. and obtaining instructions re. appointing Professionals/Specialists/Legal Representatives• Tendering, negotiating and concluding signed management agreements with new clients and ensuring that the relevant property manager is fully conversant with the terms• Drafting Service Charge (Levy Charges) budgets in advance of the year-end and obtaining client/committee approval for implementation• Reviewing expenditure to date, previous years accounts and incorporating known anticipated expenditure• Monitoring cash flow and reporting/taking action on instruction to prevent funding problems• Ensuring that Service Charge and Ground Rent (Levy and Special Levy Charges) demands are issued in timely fashion• Attending regular client meetings, AGM's, EGM's and Committee/Residents Association meetings having regard to the management agreement and complete and or compile minutes of the meetings• Dealing appropriately with all insurance claims, currently with in-house insurance department and/or brokers directly
