· Customer Service: reception, multi-line phone, schedule client appointments with staff, direct clients to appropriate department or public resources in the community, assist walk-in clients with paperwork including limited English proficiency and special needs clients, collect customer service data with surveys, accept rent payments, explain housing services to renters and landlords, promote units to prospective renters.· Office Management: stock office supplies, purchasing, organize work areas, maintain bulletin board, maintain and troubleshoot office equipment (printers, fax, postage machine, etc.), post public and resident notices, brand compliance, order or compose materials for marketing events· Administrative Assistance: data collection and analysis, file maintenance, scheduling, and screening clients. Provide assistance to the Executive Director, Finance Director, and Director of Leased Housing by composing documents, correspondence, scheduling meetings and teleconferences, and providing a variety of reports. Record data and prepare reports including application process, housing maintenance, customer activity/traffic, staff time allocation, and program statistics. Plan meetings of the Board of Commissioners including the agenda, meeting materials, PowerPoint production, meeting space, and refreshments; typing meeting minutes, recording resolutions, requesting appointments of new commissioners, and notifying commissioners of training opportunities.
