Weekly payroll processing of 1600 – 2000 employees, Federal and State tax deposits, audit payroll and reconcile agency accounts. Prepare and file monthly Maine Public Employers Retirement System pension report and Group Life Insurance bill, quarterly 941 Federal & 941ME tax returns and functional labor reports for the City of Portland and Portland Public Library. Prepare fiscal year end audit schedules for accruals and pension. Prepare, reconcile and file W-2’s, 1099 Misc. Calculate and post worker’s compensation benefit time restorations, prepare wage statements and work directly with third party administrator to monitor claims. Prepare union costing spreadsheets for labor negotiations; prepare payroll reports providing specific information for departmental use and other payroll reports for upper management as needed. Administer the HTE payroll module, grant security, create and maintain all codes associated with employees’ records and payroll data, research and report problems. Supervise Accountant position and oversee 20 decentralized payroll clerks in payroll data entry and maintaining employees’ deductions.

Responsible for recording payroll data into automated human resource system for 380 employees. Calculate and process special payments and allowances. Reconcile payroll register, compute & update employees’ leave benefits, pay, taxes and deductions. Oversee Worker’s Compensation claims, prepare first reports, wage statements and work directly with Insurance Company to monitor claims. Prepare OSHA log and summary report, prepare and monitor employee performance appraisals and prepare and maintain employee records. Update and process insurance forms for current and new employees, answer inquiries for payroll, benefits and insurance and prepare cost analysis spreadsheets for budget purposes. Supervise/train student intern with payroll processing.
