Reporting to the Assistant Vice President for Philanthropy, the Philanthropy Data Systems Manager is responsible for supervising and maintaining the Philanthropy department’s CRM system, Tessitura, as well as related prospect data management. Responsibilities include database administration, maintenance, analysis, prospect research, list generation, reporting, and general data management for the advancement department and executive leadership. The Philanthropy Data Systems Associate ensures integrity of the database; preparation and management of reports for advancement officer utilization; export and production of end-user data for digital communications and printed mailings; proactive research and briefing reports of prospective donors; and build out of modules and dashboard analytics in Tessitura. Additionally, the Analyst works with finance and accounting departments to ensure consistency and accuracy of gift data for audits.

The Advancement Associate – Information Strategy and Donor Services supports a spectrum of advancement department activities and provides management of prospect research, data platforms, support of annual giving, general donor relations, and donor events, including the Celebrate Colburn annual gala. Reporting to the Donor Engagement Director, he/she works in conjunction with the Advancement staff to proactively enhance the pipeline of new donor prospects, as well as support the opportunities for deeper relationships and financial commitment within the current donor pool.

The Advancement Specialist - Donor Relations supports a wide spectrum of Advancement Department activities and provides support for Annual Fund, Colburn Society, donor database management, gift processing, donor acknowledgements, general donor relations, prospect research, and donor events, including gala and Taste of Colburn. Works in conjunction with the Advancement staff to help ensure smooth business operations for various fundraising programs. Reviews Gift data entry for accuracy and consistency,manages and reviews receipt letters generated by the gifts processor for accuracyconfirms recording by gifts processor of electronic and hard-copy files of gifts, acknowledgements and other correspondence with donors.Generates routine donor and financial reports and queries and exports for annual fund mailing dataestablishes and maintains consistent standards for electronic and paper files for donors. Provides active participation in portfolio management by providing prospect identification and research, input on strategy development and stewardship. Generates custom second-touch letters to donors and drives timely completion of all letters by other Advancement staff.Provides support to the Colburn Society donor group, including donor and prospect rosters, donor renewal information, etc,Writes and produces solicitation letters as assigned, tracks personal notes from solicitors.
