• Place all orders of controlled substances and oncology consumables.• Communicate on every order placed on a controlled substance to suppliers, Administration and Dispensary operations.• Creating Purchase orders on Flexgen• Following up on all purchase orders daily, including deletingAnd finalising orders• Place emergency orders on items listed on the To-follow list and Work in progress list.• Place orders on orderwise and UTI future wave• Contact suppliers regarding items not supplied within agreed time limit.• Communicate with manufacturers on out of stocks and obtaining out of stock letters.• Maintain out of stock list to update admin on product queries.• Close old purchase orders on the system once orders are complete.• Sometimes assist the dispensary with printing of picking slips and picking stock for dispensing.• Assist with stock takes• Tracking the release of to-follows in the dispensary.• Registered Learner basic pharmacy assistant• Source official responses and letters to confirmed out of stock lines, including expected dates.• Communicate with operations on relevant inventory related issues.• General drug file and stock file maintenance• Capturing of invoices and credit notes• Running and checking daily audit trails and reporting any deviations to the Procurement Supervisor.• Following up on exceptions and reporting them back to the Procurement and Receiving Supervisors.• Reporting any deviations on goods received to the suppliers and following up on credits/returns/invoices.• Arranging credit and upliftment with suppliers for stock that needs to be returned, reversing the stock off the system and following up on upliftments.
