Executive Assistant
Responsible for:•Create, proofread, and edit documents, presentations, and reports as needed.•Arrange and organize meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.•Organize and maintain files, records, and databases, ensuring efficient data retrieval.•Manage electronic filing systems for contracts, agreements, and related paperwork.•Coordinate with relevant parties to obtain necessary documents and approvals.•Facilitate communication between buyers, sellers, real estate agents, lenders, and other stakeholders.•Provide regular updates on the status of transactions to all involved parties.•Review purchase agreements and other transaction documents for accuracy and completeness.•Work with agents and clients to address any discrepancies or missing information.•Schedule and coordinate property inspections, photoshoot, and appraisals.•Ensure timely completion of required inspections and assessments.•Input relevant transaction data into databases or customer relationship management (CRM) systems.•Coordinate the finalization of documents and funds for the closing process.•Ensure that all necessary paperwork is prepared and submitted for a successful closing.•Collaborate with title companies and escrow officers to ensure a smooth closing process.•Address any title-related issues that may arise during the transaction.•Track and manage expenses, reimbursements, and budget tracking.•Conduct research on various topics as requested by the executive.•Manage access to the executive, screening calls, visitors, and requests.•Maintain confidentiality and handle sensitive information with discretion.•Proficiency in using office software, communication tools, and other relevant technologies.•Address challenges and find solutions to ensure smooth operations.•Prioritize tasks and manage time efficiently to meet deadlines.
