- working directly with the Head of the Defence Office in assisting and coordinating the activities on a daily basis.- assisting the Head of Office with logistical and strategic administrative matters in connection with the work of the Defence Office and with the Defence teams.- providing secretarial and administrative assistance to the Head of the Office, the Deputy Head and the Chef de Cabinet.- arranging appointments and travel, receive visitors and make reservations. - liaising with other officials of the Tribunal to ensure a smooth and efficient handling of the Head of the Defence Office’s work.- liaising with other Tribunals, international organisations and embassies to obtain or provide information relevant to the Head of Office.- taking dictation and/or audio transcription and type substantive documents and correspondence, including letters, memoranda, facsimiles and other documents. - proofreading, formatting and revising all documents before publication.- maintaining the filing system, (electronic) diary and records of faxes, requisitions and other regular transmittals.- Case Manager. - in charge of the interns for the Defence Office and the Defence Teams from check-in to check-out - leave monitor of the Defence Office and for the Defence teams- organisation of major events of the Defence Office (for example the annual meeting of Defence Offices at the International Criminal Courts)- Drafting letters for approval.- charge of the archiving of the Defence Office and create the structure of the drive system of the office.- in charge of the database of the Defence Office.
