Response for coordinating HRM in the Ministry and some Affiliated Agencies

Taking decisions and delegating work to others on behalf of Coordinator during his absence.-Advising the Coordinator on Personnel and other administrative matters-Devising and maintaining office systems, including data management and filing.-Arranging travel and accommodation and, occasionally, travelling with the Rector to take notes or dictation at meetings or to provide general assistance during presentations.-Handling enquiries and requests, when appropriate.-Meeting and greeting visitors at all levels of seniority.-Organizing and maintaining diaries and making appointments.-Dealing with incoming email, faxes and post, often corresponding on behalf of the Coordinator-Taking dictation and minutes of senior management meetings.-Carrying out background research and presenting findings.-Producing documents, briefing papers, reports and presentations.-Organising logistical requirements and attending meetings and ensuring that the Coordinator is well-prepared for meetings.-Liaising with partner Institutions and other staff.-Responsibility for accounts and budgets of Coordinator’s office.-Taking on some of the Rector's responsibilities and working more closely with other management staff.-Participate in senior management decision-making processes.-Any other duties assigned by Management.
