My role was to support the Merseyside office for two project teams working under the Learning, Skills & Employment department of the charity along with maintaining and updating the company CRM for both projects by completing inputting of participant files along with compliance and audit checks. Providing management with monthly data for ESF financial claims. Whilst undertaking these tasks I was also responsible for creating and developing reporting information on spreadsheets to help gain a better understanding of the demographic and business needs/performance. It was also my responsibility to ensure that general office duties such as stock management, staff expenses, fund requests and submissions were taken care of and correct prior to being sent to finance.

My role here was to provide data entry from an old system onto a new management System. collating and quality assuring that all data was corrected or updated before transferring onto new CRM with 100% accuracy within a timely manner.
Medical Staff Coordinator
While placed here through agency I found myself thrust into a new demanding area unknown to me and while at times difficult, overall I enjoyed my time spent here. My initial tasks while placed were to observe, understand and build relationships with staff from trainee doctors to consultants and varied non-clinical staff. This was achieved through ensuring robust arrangements were in place and upheld to support the coordination of medical staff across the divisions. Being able to make and receive calls from various staff regarding short notice or unforeseen absences and being able to quickly resolve issues or escalate them where necessary were key. I was also responsible for logging doctor’s locum timesheets onto a monthly database which required 100% accuracy and speed whilst also being the first point of call for any payment queries and in some cases meant investigation and the ability to construct data in various formats to explain results.
Data Inputter
I worked mainly as a Data Inputter/Quality Auditor my duties were to quality/compliance check inputted data on our MI system from documents received. This ran through Traineeship Study Programme and apprenticeship contracts both in-house and for subcontractors. I also covered for general Inputting of starts, applications and leavers (when required) while maintaining professionalism and adhering to company core values at all times. I was also working with our Health & Safety Manager and sector leads to implement a structure with a scope to re-shape some company procedures within the Health & Safety section of the company to ensure policies and procedures are met. This involves updating old documents as well as implementing new ones and developing a procedure flow chart in order to show how new systems will work by developing training and guidance documentation for all staff, sub-contractors and external customers (Employers/Learner placement staff) as well as new customers.

I agreed to move into this role due to my background in order to assist the team with general admin duties whilst aiding and implementing systems policy and procedures for the new Traineeships venture, whilst signing up clients and ensuring health and safety documentation was in place in order to complete starts. All client quotas were handed down from management and we worked to strict deadlines. In my last couple of months I also spent time playing an integral part of another new venture called '24 plus Advanced Learning Loans' of which I was Lead Administrator and was responsible for creating and managing a tracking system whilst making sure company procedures and data protection were adhered to.

I was approached by this employer to help assist, create and maintain a Learner Management System for apprenticeships that would then be used to manage all learners across other contracts. Once complete it was my task to train the administration team how to use the system whilst identifying any training needs in order to up-skill staff whom I Identified as needing it. I worked closely with the Administration Manager in order to produce a compliant, informative, robust and detailed system that fit around current contracts in order to help this subcontractor become more compliant with its main providers. I found I had to be very diverse in the way I implemented myself and the way in which I saw the business using the systems I had built.
I.T. Support Officer
My duties included management and upkeep of the asset registers, wiping/setting up and preparing laptops whilst placing them onto correct domains alongside installing preferred software/programs for use by staff. I loaded user profiles onto laptops and was given some networking tasks. I was also first point-of-call for all staff IT issues and problem solving alongside assisting with external IT support. I helped staff to understand new technologies and their use by creating short guides and/or having one-to-one meetings or group training sessions. My ongoing duty was to assist with the upkeep of IT Systems and ensure the smooth running of the company’s servers and equipment.

I was the main point of contact for dealing with our external mobile telecoms manager. I was regularly tasked with problem solving against monthly bills and spent time researching new telecoms contracts that would have a monetary benefit for the company or seeking out new technologies that would aid staff with their job roles.
