Senior Conference Manager
Current• Oversee and meet with clients to establish, implement, and monitor overall conference plan, timeline, and policies and procedures.• Provide guidance to subordinates in the management of their assigned conferences.• Manage Conference Services Department project management team, to include as appropriate: conference manager, and two conference coordinators.• In concert with ASCE or Institute staff, coordinate work of conference chair and technical program committee to ensure program is developed on time and is consistent with conference goals and objectives. • Work with appropriate staff to schedule and coordinate committee meetings and internal staff meetings, including creating agendas and participating in conference committee meetings.• Ensure committee members, conference speakers, and program moderators are informed about conference arrangements.• Develop, prepare and monitor budgets; identify potential problems; work with the Accounting Department to provide financial management and reports for the conference. Monitor and approve expenditures, recommending and implementing money-saving processes wherever possible.• Review and approve RFPs for venues and vendors. Analyze site options and make recommendations for venue contracts, working independently, with ASCE staff, or with third party vendor as appropriate.• Provide overall management and coordination of on-site operations including audio visual, food and beverage, hotel, housing, meeting room assignments, security, tours, shuttle busing, ground transportation, registration, exhibits, poster sessions, special events, speakers’ provisions, shipping of materials, and on-site requests.• Understand abstract/paper management process and systems.• Coordinate ASCE staff arrangements for the conference; manage on-site staff and third-party vendor staff.• Manage vendor contracts (destination management company, audio-visual, housing and registration, graphic designer, etc.)
