Responsible for gathering documented clinical information as it relates to determining the appropriate appointment type based on departmental guidelines. This position is responsible for effective communication and interactions with internal and external practitioners and members. This position coordinates multidisciplinary care with systems outside of KPGA to include external specialists, follow-up ER visits and follow-up hospital discharge visits. This position reviews data received prior to the visit and utilizes judgment in the appropriate and timely scheduling of appointments that are in line with treatment and specialty standards. She/He is responsible for complete, accurate data entry of all referrals for the assigned specialty. Supports Specialty Appointment Coordinators with inbound call volume, which includes scheduling appointments. Additional duties include distribution of internal referral letters and maintaining waitlist for multiple specialty departments.Essential Functions:• Responsible for obtaining and maintaining specific medical information needed from internal and external referring practitioners for the purpose of: managing department waitlists; process specialty referral letters; maintain reports related to specialty scheduling (when necessary).• Acts as a point of contact for inquiries/questions from internal/external practitioners, HCT members, patients and family members by telephone or in person relating to the information needed in the referral process.• Ensure adherence to Appointment Scheduling Call Center practices and policies including (but not limited to) call quality guidelines, attendance guidelines, schedule adherence guidelines and attention to detail to prevent errors. • Assists with specialty call volumes and provides timely, proper, and accurate documentation for both inbound and outbound calls.

Essential Functions:* Ensure that physician and associate practitioners schedules are coordinated according to established guidelines in a timely and accurate manner meeting both the patients and practitioners needs to include On-Call and Rounding schedules for greater than 150 practitioners.* Ensure that the data is entered in the ATSTAFF appointment scheduling system accurately and appropriately.* Ensure that all practitioners schedule changes and sick calls are completed according to the Cancellation of Member Appointments by Kaiser Permanente Georgia Less than 24 hours policy and procedure and established Team guidelines.* Coordinate all departmental master schedule changes.* Provide a high level of customer service in managing scheduling changes and communication with members, practitioners', Primary Care and Specialty Teams, Specialty Managers and Department Managers.* Provides support to Specialty Managers and Department Administrators in the area of Access Reporting and Template Management.* Manages Practitioner's waitlist - OB/GYN and Pediatrics only.* Acts as liaison between TSPMG, ATSTAFF, Specialty Managers and Department Administrators.* Present new ideas to practitioners and managers across the region to improve service and quality.* Partners with the Lead MD and Clinical Supervisor for template management to enhance availability and access to the team/department.
