Receptionist
Current• Greets visitors and callers and handles their inquiries or refers them to the appropriate employee.• Takes and routes messages.• Performs routine typing and generates correspondence.• Opens and distributes mail; prepares and mails outgoing correspondence.• Sets up organized files for correspondence, ensuring easy retrieval.• Operates standard office equipment.• May enter data into a computer database.• May operate a multi-line telephone console.• May post and maintain information in public areas.• Performs related responsibilities as required.• Provides consistent customer service in a friendly, professional, courteous, and proactive manner.• Maintains a general knowledge of TFGH staff and their functions to direct calls, visitors, and messages adequately.• Maintains neat appearance of the reception area and; appropriately reports any needed maintenance repairs.• Maintains security by following procedures, monitoring logbooks, and issuing visitor badges.• Opens and secures the front office entrance daily according to schedule.• Maintains employee and program directories.• Opens and distributes mail; prepares and mails outgoing correspondence; and operates standard office equipment.• Provides essential administrative support, including scheduling meetings and monitoring conference rooms.• Supports HR and Business Strategy administrative functions, including:• Updating the staff directory and org chart using.• Preparing an internal new hire newsletter.• Creating online (GrubHub, etc.) meal credits for staff.• Creating online signup sheets for staff.• Creating, editing, and formatting documents.• May use Google for Business, Microsoft Office, MailChimp, LucidChart, SurveyMonkey, SmartSheet, Web-based platform(s), and Zoom to provide administrative support for talent acquisition workflow.
