Possesses a broad knowledge of construction operations and preconstruction processes/procedures. Often referred to as the “go-to” person for any construction operations and most preconstruction needs.Provide project teams with administrative support; prepare subcontracts, work orders, purchase orders and change orders; obtain contract documents/change orders, bonds and insurance in a timely manner – prior to commencement of work; ensure subcontractors maintain active and approved insurance at all times; assist project manager with owner change orders and pay applications; edit and format outgoing correspondence; assist with transmitting documents prepared by project team; i.e., submittals, RFIs, meeting minutes, etc.; transcribe and distribute letters/punch lists; compile and maintain project directory; assist with preparation of close-out documents; assist applicants with employment forms and send for drug testing; arrange on-site and off-site meetings for Project Team; assist project team with project events; i.e., groundbreakings, topping out ceremonies; travel arrangements when required; arrange for proper storage/inventory of jobsite files upon project completion.Ensure bid package manuals and cost study books are prepared in accordance with company guidelines; assist Preconstruction Department in daily work flow; assist with establishing standard operation procedures for preconstruction services; prepare bid forms and order bid bonds in accordance with project requirements; interface with Facilities Manager in the storing of historic preconstruction files; maintain electronic preconstruction library; monitor preconstruction staff offices and common areas to ensure organization; monitor and oversee plan distribution website, ensuring proper distribution of documents to vendors; train new preconstruction employees on the standards and procedures. AIA document preparation as needed. Executive/Administrative support for Senior Management.
