This role is responsible for enhancing the effectiveness of the two Executive Vice Presidents (EVPs) by providing administrative support. Performs coordinates and oversees technical and office administrative duties in support of the EVPs and his /her staff.-Coordinate and maintain the EVPs’ schedule by planning and scheduling meetings, conferences, teleconferences and travel-Produce high-level presentations, briefing papers, documents and reports for clients and Cotecna Senior Management as required-Review and summarize miscellaneous reports and documents, prepare background documents as necessary-Coordinate the Divisional Reporting requirements for all regions to ensure timely submissions of all reporting requirements-Follow-up with Regional Contract Managers and Coordinators on all outstanding issues-Regularly review EVPs e-mails and correspondences, evaluate e-mails/correspondences requiring the priority attention of the EVPs. Independently respond to e-mails and correspondences of a routine nature. Facilitate communication from department heads, department coordinators and the various functional or support divisions-Produce cash requests, purchase orders, and reimbursement requests as and when required-Organize all Board of Directors meetings for all companies under the Division (includes travel, hotel reservations, preparation of BOD documents, conference calls, etc)-Organise/supervise seminars and reunions-Implement and maintain an efficient and electronic filing system for the EVPs and Division-From time to time act as the proxy for the EVPs -Assist in the preparation of all offers and related documents, as required-Coordinate IBP and PRP Process
