Responsibility (process and functions undertaken to achieve results) Strategy- Prepare plans for delivery of relief items according to operational needs.- Apply UNHCR's procurement strategy when planning for purchase of important commodities and services.Operational Support- Ensure timely customs clearance of consignments.- Manage storage of goods according to "best practices" and UNHCR rules and regulations.- Maintain an efficient system for the release, distribution and redeployment of goods.- Coordinate transportation and distribution of relief items.- Prepare logistical plans, implement supply operations and provide information on the status of requests and the availability of items in the supply chain.- Coordinate activities of implementing partners and/or contractors performing supply related activities, and ensure that they understand and adhere to relevant UNHCR rules and procedures.- Maintain accurate and comprehensive records on logistical activities and provide timely reports and updates both periodically and on request.- Through regular physical verification of PPE establish their status.- Purpose old and obsolete PPE for disposal and plan for arrival of replacement items.Infrastructure Support- Evaluate purchase requisitions to ensure that specifications, delivery dates and all other requirements are in order.- Draft and dispatch quotation requests and/or tenders, assist in the evaluation of offers and draft bid-tabulations and prepare proposals for award of contracts to the Committee on Contracts.- Prepare Purchase Orders and send confirmations, requests for inspection and other correspondence.- Monitor the manufacture/transport of ordered goods to ensure timely delivery.

Responsibility (process and functions undertaken to achieve results) - Assist the asset management by UNHCR's operations in coordination with the direct supervisor and Asset Management Unit in Budapest.- Assist organization of assets auctions so that they are completed in a manner that maximizes revenue for UNHCR.- Take part in frequent assets disposal and set-up missions throughout the region.- Facilitate identification, assessment and selection of vendors (Auctioneer) based on their capability for delivering the best services and cost effectiveness to UNHCR.- Liaise with UNHCR operations to ensure vehicle accidents and damage are reported and processed in accordance with the prevailing rules and regulations.- Report on income from sale of assets in cooperation with the Finance Unit of the Assets and Fleet Management Section of SMLS/DESS.- Maintain an efficient system for the resolution of asset management issues in support of UNHCR's users.- Assist with the coordination of asset management activities to ensure that UNHCR's assets are repaired through effective application of the GFM insurance provisions. - Maintain accurate and comprehensive records on asset management activities and provide reports as and whenever requested.- Analyse disposal requisitions to ensure that specifications, disposal dates and all other requirements are in order.- Assist in the evaluation of service providers and provide advice to UNHCR operations on asset disposals.- Assist UNHCR operations with preparation of Transfers of Ownership, Disposals, etc. in order to streamline the asset disposal process.- Monitor the quality and accuracy of asset-related data in the relevant business systems. - Compile and analyse statistical information, identify trends and developments in asset-related matters that will assist the field operations and AMU in Budapest to develop plans and adequate decision making.
