Upon validation, we provide approvals to Accounts Payable to pay them. We first validate the current due amount on the invoice by analyzing variance in monthly recurring charges/validating non-recurring charges (eg. Special construction)/ late payment charges/ early termination liabilities/ taxes & surcharges/ adjustments/ other charges & credits (e.g. back-billing). Then the transaction is created and the actual paid amount is set on the invoice. We may decide which of the items are payable and which not – these are disputed/ short-paid. In these cases, we are also responsible for dispute management and bill issue resolution. We reconcile any credit/ debit to make sure the account is in balance and create balancing entries as necessary. Finally, we make sure the items on the transaction have proper G/L codes. Any invoice needs to be reviewed and approved to AP well-in advance in order to be paid by the due date. We work by strict metrics, both by volume and quality, to process large amount of information and avoid unnecessary expenses.Other Responsibilities include:- partner on solutions that prevent bill errors or inflated access expense; especially with vendors.- finished transition of ENI (Expense No Inventory) audits from Post Bill Validation to Invoice Processing Team- pursuing automation possibilities in all aspects of business: workload distribution (daily work distribution incl. past due items and overall output measure)/manual task automation (database update BOTs)/ quality control (Invoice and Dispute Sampling)/ tracking & reporting (On Time Performance; Audit Validation)
