Executive Assistant to the Chief Human Resources Director.I provide executive support to the Chief Human Resources Officer, I offer a broad variety of administrative tasks including: • Managing an extremely active annual calendar of meetings, travel, itineraries and work plans, including prioritising conflicting needs and handling matters expeditiously;• Responsible for the organisation and maintenance of the Group HRD’s files & materials and document storing systems, e.g. on Servers, SharePoint, Intranet & filing cabinets;• Supporting the HRLT to adhere to compliance with applicable deadlines regarding all Committee Meetings, [i.e. Toll Board, GLT and Group Committees] including advance distribution of materials before meetings, providing reading materials in advance of meetings and scheduling preparation time for reading and actioning items required for committee meetings;• Participating as an adjunct member of the GLT Executive Team including assisting in scheduling off-site and all-staff meetings and attending meetings as needed;• Managing the administration of Toll’s Executive Leadership Assessment Programme;• Participating as an adjunct member of the Toll Group Crisis Management Personal Assistance Team [PAT] including assisting in preparing materials for and participating in CMT training exercises and real-life crisis, attending meetings as needed;• Preparing and managing the budgets for Group HR cost centres including; draft annual budget, forecasting & reconciling budgets, preparing expense reports, monthly reporting, maintenance of expense spread sheets and managing payment of expenses & invoices; and• Managing and administering Toll’s Executive Health Assessment Programme.
