Responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. Support and maintain key software applications, Mitel phone system and cellular devices, and supervise office administration staff. Office Manager Duties: • Select, manage and coach office administrator, receptionist, executive administrator• Assign and monitor clerical, administrative and secretarial responsibilities and tasks among office staff, including office supply requisitioning and orders• Coordinate office staff activities to ensure maximum efficiency• Supervise document scanning process• Ensure security and confidentiality of data• Coordinate office services through external vendors (vending, water coolers, cleaning, floor mats)• Monitor and maintain office supplies inventory• Review and approve office supply acquisitions/vendors• Maintain and coordinate conference room events• Maintain office security Software Support Duties: • Supporting and maintaining the following key software applications: • Enterprise Resources Planning (Activant Prophet 21)• Customer Relationship Management (Salesforce.com Prophet 21)• Document Imaging Management (Canon ImageWare, DocMan)• Filemaker• IT Help Desk• Mitel Phone Administration• Keyscan Door Access​​by the following: • being main internal point of contact for users• being the main external point of contact for vendors• troubleshooting problems and working with vendors on solutions when required• working with IT for hardware-related issues• training staff on applications• testing new versions and new capabilities of software prior to implementation. • Support and maintain office and remote phone service and equipment (land line, fax, cell).• Structure and manage major data imports and data updates for quote entry, order entry, contract pricing, pricing pages, and inventory.
