CurrentPrimary Responsibilities/AccomplishmentsCalendar/ScheduleManagement▪ Managed the president’s complex and frequently changing calendar in conjunction with co-chiefs of staff.▪ Interact with CEO throughout the day to review priorities and adjust schedule accordingly.CommunicationTravel Coordination▪ Receive and screen a high volume of email, mail and telephone calls. Proactively respond when possible, delegate to others as appropriate, and flag top-priority communications for president’s review and response.▪ Schedule and initiate all conference calls and videoconference meetings▪ Manage complex domestic and international travel itineraries door-to-door, across multiple time zones.▪ Coordinate all logistics such as ground transportation, hotels, restaurant reservations, and meeting site requirements.▪ Compile detailed and thorough travel packets for the CEO, including contact numbers and briefing documents for scheduled meetings.Presentations & Meetings/Events▪ Work closely with co-chiefs of staff to assemble materials and fully prepare CEO for daily meetings, conference calls, and customer visits.▪ Coordinate with public relations team and advisor to the CEO on preparing speaking points and event scenarios.▪ Schedule all meetings, plan quarterly business reviews and companywide meetings.Board-related Support ▪ Coordinate the advisory board quarterly, special, and committee meetings; prepare agenda, assemble meeting materials, generate notices and reminders. ▪ Initiate and handle advisory board members’ stipend payments and expense reimbursements.
