Answer telephone calls as quickly as possible in a polite and friendly manner; and, transfer calls appropriately. Take messages when the individual requested (resident or staff) is unavailable.Monitor the emergency system, direct staff to emergent situations, and call emergency personnel as appropriate. Provide information to all visitors and direct them to the appropriate individual who can assist them. Ensure that all visitors/contractors sign in.Keep the reception desk and lobby clean and organized after each shift.Facilitate transportation requests to appropriate staff; and coordinate and communicate the timing of transportation to residents and staff. Place courtesy calls to residents to remind them of transportation trips. Assist residents in signing up for programs and activities and collect payment.Be knowledgeable about office equipment and be able to demonstrate how to use it to other staff. Monitor equipment and report supply needs and issues to the Lead Receptionist.Receive packages and mail, sort mail, and inform residents/staff of packages to pick up.Facilitate maintenance requests, and communicate to appropriate staff urgent or emergent situations. Support other departments in clerical duties as assigned by the Administrative Services Coordinator
