Supervision, training, hiring and scheduling of concierge staff. Works closely with Office Manager to provide highest level of services for residents and intro-departmentally manage necessary functions such as room reservation, scheduling and tracking. Answers incoming phone calls, takes messages, and transfers calls to appropriate party. Greets visitors/clients/vendors, etc. and answers their needs, directs them to desired destinations, etc. Handles resident/client/vendor requests and concerns, and redirects to appropriate person as needed. Follows up on resident and visitor requests to make sure all matters are addressed to their satisfaction. Types reports and confidential correspondence. Involved with data entry, file correspondence, and prepares special orders/reports for managers as approved/directed by supervisor. · Responsible for a variety of clerical duties as assigned. Routinely arranges for the delivery of mail, paychecks, packages, etc. Performs miscellaneous administrative support functions that may include typing, data entry, maintaining schedules, compiling reports, and mass mailings.

• Schedule travel arrangements (air, hotel, car, etc.) for various team members, utilizing a specific database and management system.• Processing overnight packages, documents, and letters by courier (FedEx & UPS), while seeking the best rates and shipping options.• Assist with duties associated with in-house meetings, conference and video-conference calls, including ordering meals, meeting room set up, scheduling and calendar coordination.• Coordinate with multiple departments on supplies needed while maintaining cost-effectiveness and utilizing a specific ordering system.• Reconcile Credit card statements for qualified team members.

-Provide operational support to the Buyers and Procurement Team-Maintain product descriptions, attributes, and pricing in the Company wide database -Find and update product cross references using supplier's provided information and market research-Create and update product specification sheets and photos-Manage product request inbox and assign requests to appropriate team members and departments-Help maintain and update Safety Data Sheets as required by OSHA and the Hazard Communication Standard-Other Administrative duties as assigned
