The Administrative Assistant IV is the primary or lead departmental administrative support position in a department that consists of diverse and complex activities or has a coordination role involving subsidiary units. The Administrative Assistant IV performs diverse, responsible, and complex functions with minimal supervision that require initiative, the frequent exercise of independent judgment, and a thorough understanding of University policies, procedures, and operations. These higher level responsibilities are associated with responsibilities that are well-established, ongoing, and unlikely to change due to changes in personnel at the department head or administrative support level. The Administrative Assistant IV may provide coordination and direction to staff in subsidiary units and/or assign and monitor work of a second full-time administrative support person, student workers, and Graduate Assistants.

ESSENTIAL FUNCTIONS and ACCOUNT-ABILITIES• Provides general office and clerical support to the COO• Maintains and updates rosters, email distribution lists, mailing labels for members of various task forces; sends out meeting reminders and compiles RSVPs, types up agendas and schedules, reserves and sets up rooms for meetings; orders food• Can take minutes, record them and compile executive summaries• Responsible for data collection, entry and maintaining spreadsheets• Coordinates schedules and meetings for internal and external audiences, including travel arrangements• Is the agency liaison for the National Council Session every three years• Handles correspondence, signatures and other office tasks that require supervisor’s attention• Prioritizes tasks and continually makes suggestions and improvements with efficiency and accuracy as the top priorities• Processes administrative invoices, check requests, credit card receipts, expense reports, etc.• Receives and makes phone calls; takes messages and provides good phone etiquette• Composes and manages email correspondence • Takes initiative in supervisor’s absence• Keeps forms and other materials up to date, including website content review• Completes mailings, composes agendas and handles other department related details• Completes all required documentation in an accurate, thorough and timely manner
