Administrative Coordinator
CurrentMonitor and report hours, generate invoices for grant- and contract-funded services. Resource for staff and management for building security, maintenance and repairs, computer and telecommunications equipment, timekeeping, benefits, licensure and compliance. Maintain inter-departmental communications, workflow updates, staffing changes, engagement planning, focus group tasks and coordinate quality improvement projects. Compose meeting agendas for staff, management, providers, and Patient Centered Medical Home team. Dispatch purchase orders, requests for reimbursement to physician expense accounts, staff development, equipment and services performed in the clinic. Plan meetings for internal and external business partners. Develop orientation itineraries. Coordinate onboarding, including all required training. Maintain employee timecards for payroll; collaborate with HR and payroll to resolve conflicts. Track unplanned events and personal time accruals; monitor misuse of policies. Design letters, reports, patient education and marketing materials. Verify and monitor licensure of professional staff.
