La Quinta Arts Foundation (LQAF), a 501(c)(3) nonprofit is an event production organization that focuses on cultural enhancement via large-scale outdoor art venues. The flagship venue is La Quinta Arts Festival, a four-day outdoor gallery complemented by entertainment, food and beverage, and world-class fine art. It hosts a patron base of over 25,000 attendees. Other LQAF programs consist of several one-day art shows, student scholarship programs, museum exhibits, and valley wide cultural events. My general duties as the Accountant are twofold – event management and financial accounting.Event Management – Command financial operations and combined finance staffing during the Festival. Coordinate objectives of Finance Staffing at all levels of the Festival. In charge of Festival payments, commercial vendor support, disbursement of grounds cash, daily auditing, financial management information systems, and banking.Financial Accounting – Maintain accurate records of all finances and transactions in accordance with Generally Accepted Accounting Principles (GAAP). Maintain Peachtree Sage Accounting System, general ledger to (GAAP) standards, and both accounts payable and receivables. Reconciles all Foundation bank accounts along with invested funds. Monitor and record personnel vacation, sick leave, and time off records. Disburse student scholarship payments to academic institutions. Maintains and tracks The Foundations programmatic financial databases which includes Access and Excel. Produce monthly financial statements and consolidated financial information of subordinate companies for the Board of Directors. Assists Chief Financial Officer (CFO) in budget creation, formulation, and execution. Coordinates annual audit preparation while ensuring a clean audit.

Weekly reports were created that focused on blackboard utilization, student evaluations, and program development. On a diurnal basis, students’ blackboard comments were monitored and feedback was provided. Assisted in the creation, coordination, and disbursement of supplemental evaluations on a quarterly basis. The parameters for these surveys, created via Survey Monkey, included a predetermined set of questions and a pool of students who use the program. Random surveys were also administered to students to gage program familiarity and interest. Assisted, developed, and examined program development opportunities. Assisted in the management of office files entering the Title V Room. Coordination with the Title V Office ensured all documents were accurate in form and content. Paperwork included confidential student records, employee punch cards, and time sheets. Managed appointment logs for student sessions and helped ensure accuracy of more than ten staff schedules.Strict ethical standards were upheld with concern to students’ personal information. Assisted faculty with proctoring exams, analyzing climate surveys, and procuring note takers for students with special needs.
