• Maintaining file system both in computer and hard form• Preparing quotations independently and sending the same to existing and prospective clients• preparing invoices and SOA (Statement of Accounts) using Quick Books• Replenish office supplies and stationaries• Making photocopies and scans of important documents and archive accordingly • Retrieval of the project and other documents for client and other departments• Making sure all the documents duly signed, sorted, and recorded containing document number.• Coordination with clients to schedule inspections and also ensuring smooth operation of already scheduled inspections• Answering customers’ query calls and emails. • Maintaining and updating the database on an hourly basis (Data Entry Task with checking source and target data)• Contacting prospective clients following the defined SOPs.

· Preparing Quotations, Purchase Requisition, Purchase Orders, GRNs, Invoices and Delivery Orders· Contacting prospective and existing clients through persuasive phone calls and emails· Answering customers’ query calls and emails· Communicating and negotiating with suppliers and defining consumable and fixed items in oracle· Entering Numeric and Alphanumeric data in oracle from various documents sources on diurnal basis· Taking minutes of weekly meetings· Act as point of contact for company rented vehicles· After thorough checking and filling checklist, handover and take submission of office vehicle· Scheduling and Assigning drivers’ daily duties for technician deployment on site· Drafting and filing letters and memos· Making photocopies of important documents and archive accordingly · Archive and retrieve company’s documents i.e. Company’s profile, RFPs, etc. · Sending and receiving sample shipments and maintaining shipments sending and receiving record for reconciliation
