Executive Support Specialist 2
CurrentProvide support to the management team within the UI Benefits Section, which includes direct support for 1 Business Operations Manager 3, indirect support for several other managers ranging from Business Operations Manager 2s and Compliance and Regulatory Manager 1s and 2s, and indirect support for UI Benefits staff. Consult with the Deputy Director, managers, and non-management staff to ensure the efficient operations of the section. Oversee the planning and monitoring of operations of the physical facilities within the section, including equipment and supply needs. Arrange out-of-state and in-state travel accommodations, including air travel reservations, hotel reservations, and meeting/conference room reservations, ensuring that corresponding expenditures are within state price agreements or GSA rates.Prepare agendas and minutes for meetings and facilitate meetings as needed.Act as a resource to and work on special projects for managers and other staff within the UI Benefits section. Execute and instruct others in placing orders for supplies and equipment needs. Follow up on management approval and receipt of orders. Oversee and assist in budget tracking and record-keeping systems. Monitor monthly and quarterly expenditure reports to ensure the expenditures are within budget allowance.Assist the Deputy Director and other UI Benefits managers as needed. Advise and serve as a resource to clerical staff in the Benefits section and the agency. Coordinate projects with vendors working on changes for equipment and physical facilities. Files include correspondence, directives, confidential personnel records, such as performance appraisals, position descriptions, disciplinary actions, attendance records, and other data necessary for management to appraise efficiency for individual units and workers and for budget preparation and monitoring. Organize, maintain, and work to protect UI Benefit information in both electronic and paper forms
