1. Updates vessel particulars, helps set up annual ship surveys, and creates, organizes, and issues Service Purchase Orders (SPOs) for annual services.2. Provides continuity on guarantee management and follow up; ensures guarantee claim files are kept up-to-date with all invoices and backups.3. Provides support to SPOs, people and tooling during major repairs.4. Provides support for dry-dock planning, specification compilation and execution of SPOs.5. Helps compile statistical data of Key Performance Indicators (KPIs), guarantee claims, etc. and assists with department reporting.6. Reviews superintendent invoices when they are out of the office and brings forward items for immediate attention when necessary.7. Works with the fleet administrative assistant to ensure team technical operations filing is up to date.

For the Fleet Team Admin role: 1. Coordinates the Fleet team’s calendars; sends and accepts electronic invitations and reminders, organizes external meetings and prepares for scheduled events including assisting with catering.2. Tracks vessel schedules, compiles and forwards mail to various ports for the entire fleet.3. Maintains database of vessel positions as required; compiles and distributes weekly position reports.4. Attends department meetings and records minutes as required.5. Schedules business travel for team members and assists with the preparation of visa applications.6. Manages operations team office records; creates and organizes files, maintains contacts, and completes and stores confidential documents.7. Assists team in preparing monthly and yearly OPEX and budget, may be required to print monthly OPEX reports for HK vessels and assist the team with their reports.For the Legal Admin Role:1. Helps prepare documentation and closings of financing, asset acquisitions, and other large transactions.2. Manages office records as they relate to the legal team, including creating and organizing files, maintaining contacts, and completing and storing confidential documents.3. Liaising with the HK Marine Department for application of certain certificates for the fleet wide vessels.4. Filling in forms that are related to registration of new build vessels and acquiring the relevant documents for application. 5. Assisting the Corporate Counsels to courier out documents to other law firms as required. 6. Assisting on preparing the proforma contracts/agreements and preparing the execution versions of the same.7. Doing ACRA(Accounting and Corporate Regulatory Authority), Companies Registry, Equasis, and IMO Company number searches as required.
