Oversea fulfillment of customer orders from receipt through to despatch and invoicing.• Monitor orders received from customers and ensure that the order is appropriately flagged and that acknowledgements have been issued.• Maintain data in the Sales Forecast (BBU) spreadsheet in a timely manner.• Act as point of contact for a customer at all times.• Update and distribute weekly Sales Order reports to Production and other staff.• Resolve issues relating to customer order fulfilment in a timely manner, referring any problems to relevant manager.• Contact customers to advise shipment information and investigate/resolve shipping enquiries.• Collect Assembly Records from Manufacturing and allocate product to the correct order and generate the packing list when appropriate (order complete or part shipment agreed).• Prepare invoices for UK and overseas shipments.• Prepare additional documents for overseas shipments, e.g. EUR1 Certificates, ATR Certificates, ATA Carnets, Consignment Notes, Air Waybills (UPS, DHL, TNT, etc.), Instructions to shipping agents, despatch advice to customers, C88 forms, Certificates of Origin and Bank Drafts.• Negotiate documents against Letters of Credit.• Contact shipping companies and freight forwarders to obtain quotations, book shipments, arrange collections and deliveries, obtain shipment information and issue instructions for import procedure on return goods.• Arrange courier requirements.• Maintain accurate records of the following information: Intrastat shipments, IPR shipments, customer repair Work Service Records, invoice and shipment details.• Provide cover for colleagues in Shipping/Order Processing during peak times, holidays or sickness.• Provide cover the for Demo Administration role.• General filing.• Telephone answering.• Other duties as required by Management.
