• Interfaces with the various Project Managers (and/ or other department leads)• Assist with the buying and delivery process of goods and services on behalf of a project. • Assist with document control, quality management, engineering department, etc.• Plan and prioritize purchasing activities• Organizing, attending and participating in stakeholder meetings.• Documenting and following up on important actions and decisions from meetings.• Providing administrative support as needed.• Undertaking project tasks as required.• Ensuring your activities adhere to company frameworks and all documentation is maintained appropriately for each project.• Take minutes of meetings where appropriate and distribute minutes to all project team members.• Review, verify and approve departmental purchase requests. Review purchase requisitions for completeness, accuracy, compliance with established policies and procedure.• Process and distribute purchase orders electronically on a daily basis. Maintain purchasing files, including purchase order records.• Collaborating with departments to assist when requisitions need additional documentation• Transmits and prioritizes approved purchase orders and supporting documents to suppliers• Work with logistic and accounting teams for project updates and information• Tracks orders and confirm supplier lead times, delivery dates, and costs.• Ensures orders adhere to supplier agreements and contracts; reports non-conformance issues• Assists finance and logistics staff in resolving invoice discrepancies• Solicits quotations, negotiates prices and bids• Develops and maintains supplier lists• Prepares formal invitations for bids and requests for quotations, including required special terms and conditions, performance, and technical criteria
