Proposal Specialist/Marketing Coordinator
CurrentWorking as a Proposal Specialist and Marketing Coordinator on a team to manage assigned proposal responses from start to finish as well as coordinating events, merchandise, and branding.Managing assigned proposal (bid) responses from start to finish under tight deadlines and with competing priorities.Reading and analyzing procurement documents (RFI, RFP, RFSO, RFSA, etc.) to identify areas of strength, weakness, opportunity, and risks for the firm and communicated findings to cross-functional teams.Identifying sticky issues and advising on questions that strengthened the proposal; writing the questions that needed to be asked; (following review and acceptance); submitting questions to and communicating directly with procurement and tracked correspondence.Identifying and tracking amendments, summarizing changes and notified the broader team, applying changes to matrices/grids, and ensuring that Resource Management a/o the consultant obtained the revised criteria.In collaboration with cross-functional teams, with respect to assigned proposals, liaising directly with consultants and candidates selected by Sales (email, phone, in-person where applicable) to gather consultant background information. Maintaining and updating the company’s detailed database (SharePoint and Bullhorn) and tracked each assigned project from initiation to completion, ensuring that all documentation was tracked, labeled appropriately, and maintained per documented retention periods.Performing research into industry trends, standards, concepts, and tools ranging in complexity from administration to IM/IT and geomatic services.Managing significant merch orders and designs through Staples and VistaPrint.Coordinating attendance, merchandise, and branding for multiple events, including conventions and company parties for both internal staff and external attendees.Developing and designing graphics for invitations and posts using Canva.
