Executive Assistant / Shine Medical Technologies

The primary purpose of this position is to provide daily operations support to the entire C-Suite, working in close consultation with the CEO. This role works closely on confidential matters related to fundraising, board of directors planning, as well as the strategic growth long term planning. In it’s early stages, SHINE relied on this role to support company-wide efforts including hiring, website design, and operations planning for a relocation in addition to regular duties. This role has high-engagement with external clients and investors, serving as the liaison for the C-Suite. • Manage daily schedules for C-Suite executives including CEO, CFO, COO, President, and 3 Vice Presidents. Utilize discernment when prioritizing meetings and events. • Work confidentially to coordinate meetings, travel, and agendas for meetings with the public and investors.• Coordinate travel arrangements for C-Suite executives, including international travel. Maintain federal documents and monitor while traveling. Step-in as necessary to troubleshoot travel interruptions and coordinate new plans alongside external partners. • Compile and submit expense reports for Executives and Board of Directors. Ensure timely submission and reimbursements in compliance with IRS regulations.• Promoted in 2016, hired and trained replacement administrative assistant. • Assist Administrative Assistant in managing daily administrative operations of the company including maintaining office supply inventory, tracking visitors and security sign-in log, sending and receiving international packages, and greet visitors.• Serve as main contact for internal and external meeting and event planning. Work internally with staff to coordinate quarterly Board of Directors meetings, including prior distribution of materials. Serve as contact for external partners for public meeting planning, including government agencies and the community. • Assist other departments with meeting daily operations duties
