I am the Warranty Administrator and Parts Manager for a small family-owned RV Dealership. As Warranty Administrator I gather all the necessary information to obtain authorization to carry out the repairs requested by the customer when they bring their Motorhomes in for repair. When authorized, I order the parts using manufacturer online management sites, direct calls, and our proprietary system IDS. Upon completion, I file the claim with each manufacturer using their online management system that allows our dealership to be reimbursed for all parts, labor and other materials needed. I work with shortages and overages based on claim payment with accounting as necessary. Payments will often differ from the original authorization so I will have to review each line, find the difference, figure out the possible reason and request additional payment in cases of shortages.As the Parts Manager, I order manufacturer specific parts for approved jobs based on information from our technicians. I gather pictures and descriptions of what we are looking for and then research online what the tech requested to find the best source. Once identified I will create the part in our proprietary system, IDS, and add it to the work orders, notifying our service advisors of availability and lead time to receive the parts. I oversee stock orders and inventory in our store based on weekly reports that I generate. Using our proprietary system IDS and based on nearly 22 years of experience I have created minimum and maximum quantities for each part that we carry so that when I run the reports, they tell me what to order and from which manufacturer. Frequently in the last 2 years I will have to look for additional sources for parts as the original is no longer available. I also conduct cycle counts and annual inventory based on weekly report reviews.As part of a small company, I support more general office functions as well, such as helping to manage our computer network, along with our industry specific software IDS and G2. I set up new computers, adding them to our network and ensuring all the programs are set up with file sharing, scanning, and printing capabilities.
