•Carried out the requirements elicitation and analysis, project planning, team formation, process modeling, design and documentation of various processes in the areas of oil production optimization, budget control, accounts payable, human resources, oil well work orders, among others.•Analyzed and modeled the oil well maintenance process, in the framework of the CENTINELA (Oil Production Accounting System) project, in order to determine the feasibility of automating it using a workflow management tool. •Carried out the evaluation of various commercial workflow tools. After a detailed analysis of process requirements, tool´s features, cost-benefits, and a feasibility study, it was recommended an in-house development of a custom made workflow tool.•Led the development and deployment of an adaptive workflow tool to automate the processes associated with well diagnosis, work scheduling, and maintenance activities of oil wells. The development of this tool made unnecessary the acquisition of a commercial workflow tool, generating considerable savings to the company.
