Client coordination is a multi-tasking activity comprises of four important aspects 1. Cash management & Payment (Cash flow inward and outward management)2. Quick books (Book keeping Application)3. Client coordination and4. Weekly Reporting & Billing. 1. Cash Management & Payment:a. Arranging multi-currency payments via Deutsche Bank web portal to port agents / vendors which are as follows,i. PDA Prefunding / Advance.ii. DA settlement / Recovery.iii. Towage invoice settlement.b. Utilising the multi-currency holding account balances for upcoming Voyage.2. Quick Books:a. Quick Books is an accounting software package, in which we pass Journal entries for the Payments / Billing & receipt. b. Daily tracking of cash flow and allocating the fund receipt from client against the payment made to Port agents / Vendors. c. Identifying the open items (Incorrect / missing entries) in books and rectifying the same so as to nullify the omissions. 3. Client coordination:a. Mail Management is the most important task of Client coordinator. b. Timely responses & updates against the particular voyage and/or queries raised by client and port agent is mandate to deliver the services smoothly. c. Updating the Financial agreement and / or circulating the updated procedures in system as well as to teammates regularly.d. Port cost (estimated / actual) submission in system for client review and approval. 4. Reporting: (Weekly / Monthly) a. On Monthly basis, Port cost analysis & Working Capital analysis is performed to forecast the future course of action and requirement. b. Billing to client against the Payment made to port agents / vendors. (Twice in a week) c. Performance report: It is the report which states the number of Port calls / DA’s which are not yet received from agent, we chasing agents.e. Bank Reconciliation. f. Creditors Summary – this report states the current status of creditors.

Finance processing is the backbone of whole department, whose basic responsibility is to process PDA & DA.a. Finance operator creates the Port calls in system, once the agent is appointed.b. PDA is generated, upon receipt of estimated port cost from agent.c. Evaluating the Proformas submitted by agent against client specific instructions, existing agreements and contracts. d. Scrutinizing the individual cost item held in shipping operation for a particular port call with reference to purpose of port call and instructions.e. Processing final DA ((Disbursement Account) & analysing the variance in estimated & actual port cost submitted by agent, discrepancies if any taking same up with agent.f. Maintaining KPI (Key Performance Indicator) for benchmarking the circles Performance. g. Updating the financial records of Disbursement Account in Simply5 System.h. Updating the status of pending items such fresh PDA / DA, on hold PDA / DA (rejected & disputed calls) to Client Coordinator.i. Weekly generating performance report & verifying the current status of DAs.
