Define, plan, execute and implement on-going refinement of integrated operational practices across the business. Traffic management where WT Technology team members are used in other divisions, or vice versa. Help the development of processes and procedures, collection and analysis of metrics related to operational efficiency, resource and talent planning, operational and traffic efficiency management, and reporting. Work closely with the Operations Director to maintain and manage the day-to-day work of the business.

Daily Responsibilities:- Work closely with Project Managers, Tech and Creative leadership to assign projects that meet the correct skill set.- Ensure jobs stay on task, on time, and on budget.- Manage multiple projects at once while maintaining strong attention to detail.- Work to improve internal communication and ensure consistency across all agency projects through the careful monitoring of project workflow and by developing the managing timelines.- Communicate effectively and persistently.- Forecast and manage capacity within the Agency.- Ensure all material schedules and production planning is in line with the approved CE.- Set up Discovery and Kick Starts.- Reach out to Vendors when necessary. - Negotiation with Project Managers/Client Service for extra time or overtime work if necessary.- Track progress, identify obstacles and regularly update all key stakeholders with regard to delivery dates, schedules and potential production challenges and risks.- Constant liaison with team and planning team for campaign executions, specific requirements or challenges.- Communicate the product schedules to all the right parties and channels.- Ensure delivery instructions are received timeously and handed over to production and/or operations.- Pitch co-ordination when needed.Traffic Management Systems : - Jira : Tempo- Chase : Planner- Workbook- Jira : Project Kanban

Client Service- Communicating via email and phone with clients on a daily basis. - Attending status meetings and new project briefings.- Creating CE's and processing of all invoices for month end.Traffic/Production- Allocating internal resources based on availability.- Working with freelancers to assist with certain projects that are briefed in.- Time sheet checking.- Opening and closing of job bags on the relevant online system as well as opening jobs on the local server.Project Management- Creating project plan with a Risk report.- Managing the project on a daily basis and updating the project where needs be.Admin-Answering of calls.- General upkeep of the office.Finance- End of month invoicing including CE creation for all requests.- Collecting all outstanding amounts every month.
