This new position came with the following responsibilities: ▪️Monitoring the month end activities; ▪️Assuring that some specific accounts have the balance 0 at the end of the month;▪️Performing bank reconciliation for two entities - HUB Italy and Nigeria;▪️Assisting in the process of setting up new suppliers (gather all the information needed such as IBAN, Bank address, Phone confirmation with suppliers);▪️Ensuring that invoices have the correct due dates and that they are paid on time, by continuously communicating with the supplier and the colleagues from MDM team;▪️Comparing system reports to balances and verifying entries;▪️Forecasting the payments for an interval of three to four weeks;▪️Managing the customs invoices completely, from booking them to keep the supplier informed weekly about their statuses;▪️Taking care of the majority of the sensitive invoices, like : transportation suppliers, leasing invoices, car fees, carburant invoices, phone contact invoices, utilities invoices, which requires a lot of investigation related to the cost allocation codes. ▪️Participating in the audit calls, preparing the requested files and gathering all the information in order to offer a better picture about entity’s status to the stakeholders;▪️Leading the team. By organising the daily activities;▪️Talking with the high management for sensitive and urgent payments, offering all the necessary details for the situation to be solved with high professionalism; ▪️Being part of the new software implementation for the invoices system, by participating into the meeting with the US team, testing all the new features in the production, reporting issues, gathering HAR files from colleagues and raising tickets;▪️Assisting in the process of creating different document types for suppliers, with different VATs, by keeping in touch with the Oracle team in order to be correctly created. Including testing the new types of documents in the test instance and providing feedback.

▪️Handling account payable for separate vendors; ▪️Establishing and maintaining relationships with new and existing vendors;▪️Ensuring that invoices are correctly booked;▪️Ensuring that the invoices are paid in a timely and accurate manner; ▪️Processing due invoices for payments; ▪️Responding to external vendors and internal managers regarding all aspects of the Account Payable process;▪️Taking care of the employees expenses, from approving them to their payment. Including asking for additional information, approvals, receipts, when needed;▪️Handling a small part of the custom invoices and phone contract invoices;
