Office Administrator
Current• Assist Contract Managers and Managing Directors with work programming• Gather prices and order materials when requested• PA to all Managers • Book all accommodation for employees• Ensure the HR systems are maintained and developed on a weekly basis. • Answer all incoming calls and queries and relay calls and messages to the appropriate person• Reception Duties• Receive all incoming electronic mail and action appropriately.• Any other General Admin Support/Word Processing as required.• Update Social Media Daily• Purchase any office equipment/stationery• Emailing Suppliers Purchase Orders• Offer filling support to each member of staff in the office• T-Card input and updating the Works Calendar will be a daily responsibility• Open and distribute post• Ram Tracking• Record Deliveries• Ensure that Non-Conformances are completed and filed• Timesheets required to be input on a weekly basis to ensure that employees are paid correctly. • Passing Purchase Invoices for payment• Enter and file Invoices• Log all Enquiries • Follow-up for all quotes • Ensure all Vehicles/Equipment are Serviced and MOT’s on the correct dates• Arranging the Lorry PMI checks• Maintenance Calendar and Servicing Records• Add new Vehicles/Equipment to the system• Developing company procedures and being proactive with evolving system within a growing company. • Assist Office Manager with Quality Systems (ISO / Achilles)• Meeting all the training needs of Allison employees, maintaining the training records. • Record Accidents & Incidents • Maintain PPE systems on a weekly basis. • Support the OM with Health & Safety. • Fire Warden• Ensure all staff have the correct training• Book training for staff• Ensure all weekly Vehicle Inspection forms are completed and handed in• Co-operate with management in following company procedures.• Contribute ideas and feedback on environmental matters to the Managing Director.• Filling out credit applications when required
