Responsible mainly on doing internal and external letters (suppliers to project basis), client/suppliers support through telephone queries & coordination, preparing contracts for the supplier for the material/services purchase, material submittals for client approval, material requisitions, floating inquiries to supplier, prices negotiation and mode of payments up to final Purchase Order. Proper filing, and document controlling and to keep track of company records with knowledge in organizing & implementing system. To manage all incoming and outgoing mails (e-mails as well). Maintain and update report of all Material Requisitions, LPO’s and contracts with all essential data. Administrative work within the department (LPO’s and Material Requisition, Material Take-off, Supplier’s quotations and inqueries). Modules for meetings presentation. Meeting schedules and appointments. Travel arrangements. Generate periodic reports as requested by Procurement Manager. To provide constant communication within departments and other duties within the scope of work.• Maintaining an updated record of all LPO released, with the data’s for all Project.• Recording, Monitoring & distributing the material requisitions to the concern Engineer and follow-up with them for LPO.• Correspondence to Supplier and site related to Delivery.• Giving update on the material requisition on request basis.• Follow up with site for submittal status report (Operations Manual, Completion of testing & commissioning and warranty Record)• Assisting and follow up on L/C Application to be established and LC payment documents.• Reporting delayed deliveries and any supplier related problem to Systems.In - Charge to deal with on time.• Handling imported good documents for clearance and coordinate with site and Supplier to clear the consignment.• Coordination with freight forwarder.• Coordination with Accounts for Payment related matter.• Follow up with the site expeditor for updating the system.
