Client Services Manager
CurrentReporting to Managing Director, act as first POC for the customer, consultants and sub-contractors for all administrative matters relating to the NATO Communications and Information Agency (NCIA) Advisory and Assistance Services (A&AS) contractManagement of the Task Order (TO) lifecycle process; receipt and distribution to the Delivery Team (DT) and subcontracting partners; Work collaboratively to coordinate CV submissions and provide proposal guidance. Prepare final TO proposal, including calculating margin and submit to customer via the secure NCIA Neo Portal. Liaise with customer to obtain TO award feedback.Onboard consultants and subcontractors – from award date to onsite start; provide guidance regarding security and specific country legal requirements; provide information regarding travel / accommodation.Conduct Keep In Touch calls with consultants and address any related concerns; hold face-to-face discussions at NCIA locations for duty of care purposes, monitor level of job satisfaction, discuss new opportunities and career goals. Negotiate annual rate increases.Manage consultant Period of Performance and hourly burn rates/funding; request additional funding from customer.Liaison with customer for all administrative queries such as (but not limited to) Purchase Order, additional funding and extension requests.Manage the TO Register and correspondence regarding all submissions and awards; management of TO statistical data (advanced MS Excel) to brief senior management.Reporting to Security Director, management of UK Personnel Security Clearances and the first POC regarding UK security matters.Conduct security clearance verification checks; initiate and manage Background Personnel Security Standard process; request NATO Secret certificates; raise and submit Request for Visits via International Visiting Control Office.Strictly manage the UK Security Register; identify and implement new security policies; review/update the Security Policy Manual.
