• Match invoices to purchase orders and receiving reports; research/resolve missing invoices with vendors/missing receivers. • Enter invoices into IOS, verifying accuracy of GL coding, UOM, and approvals.• Batch invoices with appropriate supporting documentation; exports batches and provides to F&A once approved.• Enter purchase requisitions into CODA for non-inventory supplies, services, assets, travel and expense reports, and any other purchases that do not flow through IOS. Create Travel & Expense Reports and TAR’s along with doing the reimbursements for 130+ faculty, staff, fellows and residents. Reimburse Concur system for AAA airfares. • Work closely with F&A and Centralized Purchasing to resolve issues, process Third Party Agreements and Capital Equipment Request, enter new vendor numbers into SharePoint, and obtain W-9 forms from vendors and enter into SharePoint. • Research past due balances on statements and resolve issues with vendors in a timely manner. • Run the open purchase orders and receipts accrual reports to identify missing paperwork; contact vendors to resolve.• Track and process credit invoices in a timely manner. • Copy documents for internal accounts payable records and forward original documents to F&A for check processing.• File internal copied documents in accounts payable files by vendor name. • Maintain Excel spreadsheet of toner inventory. • Order new fax/printer/scanner for clinical staff to include leasing agreements through SunPrint. • Order laptops and other office products and supplies for physicians and staff when needed.• Create purchase orders for vendors.
