Staff Assistant
Current• Scheduler for the Deputy Assistant Secretary (DAS/political appointee). Advise leadership of upcoming deadlines and assist the Policy, Planning & Innovation team with administrative assistance pertaining to the DAS.• Proofread and finalized control letters, Federal Regulation Notices, Congressional letters, and transcripts for punctuation, grammatical, and content changes/suggestions for DAS’ signature.• Meetings with managers, notetaker at staff meetings; and post staff meeting notes on our general SharePoint site.• Maintain SharePoint tracking of internal correspondence for three-level clearances.• Manage Quicktime as the timekeeper to ensure staff has been VALIDATED & CERTIFIED for each pay periods’ deadline, also responsible for timesheet amendments.• Prepare and approve travel authorizations and final vouchers in E2.• Implemented a tracker in Excel to monitor the activity of incoming correspondence to be cleared by DAS so she can meet all deadlines.• Gather budget estimates from supervisors for continuing resolution and prepare summary reports.• Ensure OT requests and travel plans have been completed and approved by the employee’s supervisor before submitting to the DAS for approval.• POC for purchase requests for expenditures including supplies, lapel pins., transcription services, etc.• Perform administrative tasks including research for FRNs stats, Federal Register stats, and data for accrediting agencies (costs, purposes, etc.).• Post comments onto FDMS system that are received from the negotiated rulemaking sessions.• SharePoint POC to initiate documents for three-level clearances.• Provide high quality customer service while speaking and emailing internal and external customers.• Serves as a backup to other teams with updates to webpages and posting of comments that come in from the negotiated rulemaking.• FEVs Champion 2023 and 2024.• CFC Champion 2024.
