IP Sofacto Docketing is a limited liability company that provides Intellectual Property docketing services in any client's docketing system. Our docketing services include the management and analysis of dates, data, and documents generated throughout the life of a patent, trademark, or design and the timely processing of the correspondence received that is associated with the client's IP portfolio into the client's IP management or docketing system. We also provide data validation services and will confirm, via public databases, that the bibliographic data of an IP asset as it is represented in the client’s records, is accurate. We offer light paralegal assistance including preparing and filing US assignments, US IDS’, and payment of issue fees at the USPTO via e-filing. Our clients include law firms and corporations no matter the size of the IP portfolio.

Managed, trained, and led docketing team, served as global representative for the company’s docketing service and the operational liaise between other service departments, including trademark renewals, patent/design renewals, software, recordals, business development, and the IP law firm. Under my lead, the company’s docketing service grew over 50% annually.

Created and managed outsourced docketing department and service. Authored and executed training protocols for client specific workflows and its successful dissemination to the team. Contributed to client development and served as liaise beginning at second contact through the life of the account. Responsible for drafting contract scope of work and held role as client contact for urgent client needs.

Interfaced with attorneys, paralegals, foreign associates, outside counsel, staff, and the USPTO as warranted to provide critical services and support relating to docketing and prosecution matters. Responsible for auditing and providing quality assurance review of correspondence processed by docketing staff. Reviewed and evaluated all email correspondence (between 120-150 emails processed daily) received in the AbbVie Patents Inbox, as well as hard copy mail, from foreign agents, outside counsel, in-house attorneys and staff, and the USPTO for patent matters handled. Identified and gleaned all relevant docketing information from said correspondence. Maintained and ensured data integrity with the accurate entry of docketing information including the creation of new cases, new due dates, and the updating of case particulars. Instrumental in activating departmental initiatives such as the successful transition to paper-lite docketing, as well as the streamlining, articulation and, ultimately, the drafting of complicated docket procedures.

Managed staff of docketing assistants, researched patent families for due diligence, and conducted accounting of PTO charges and reconciliation of same. Managed filings of all foreign applications, including PCT’s (through PCT Safe), and all related documents, such as Apostille, Powers of Attorney, and Assignments; managed docketing of all U.S. and foreign patent prosecution documents; supervised and corresponded with foreign associates and clients; e-filed U.S. applications, Assignments, IDS’, Payment of Issue Fees, Maintenance Fees, Petitions to Revive, etc., via PAIR; generated reports and queries through CPI; calendared due dates for attorneys; prepared and sent reporting letters to clients regarding new applications, continuing through prosecution onto letters patent; maintained Annuity Calendar and correspondence with clients regarding same.

Managed filings of all foreign applications, including PCT’s, and all related documents, such as Apostille, Powers of Attorney, and Assignments; managed docketing of all U.S. and foreign patent prosecution documents; supervised and conducted correspondence with foreign associates and clients; filings of applications, Assignments, and IDS’ through the USPTO website; generated CPI reports and Access-based queries; calendared due dates for attorneys; prepared correspondence to clients regarding applications, prepared notifications of filings and letters patent; and maintained Annuity Calendar and correspondence with clients regarding same.

Provided long-term on-site client support at Gatorade HQ in IP docketing and various administrative capacities; in the home office, docketed all of U.S., foreign, PCT, Patent and Trademark correspondence in addition to case history research for incoming pending and granted cases, reports, and queries. Served as coordinator of data integrity projects both at client’s office and at home office; and created library of images for clients’ worldwide designs.

Assisted in supervision of special projects overseeing 2-3 other employees; specialized in docketing of U.S. and foreign trademark and patent correspondence; maintained Daily Dockets and statutory dates; maintained data integrity; and conducted proofreading and mailing of daily filings sent via express mail and facsimile to the USPTO. Managed all foreign and domestic patent annuity fees; maintained contact with clients and attorneys regarding payment instructions, daily correspondence with foreign agents and annuity service; and maintained data integrity and docketing of payments to and invoicing from annuity service. In addition, managed the docketing of U.S. patent correspondence; proofread U.S. and Foreign correspondence; and processed conflict clearance requests.
