Administration Manager
I manage the administration of the entire SAUL Plan. Additionally, there have been a series of major projects around the setting up of, migration onto, and subsequent changes to, our administration system (UPM). I organised the admin team’s involvement in these projects e.g. User Acceptance Testing (UAT), reviewing and signing off specifications, approving deliveries into the Live system etc.I ensure a good service is provided to SAUL members and the participating employers in SAUL. This involves ensuring casework is processed within our Service Level Agreements (SLAs), and feedback from the team and analysis of rejection reports enables me to identify training requirements. I keep up to date with continuing changes in pensions’ legislation to ensure compliance. I arrange for reports to be modified to improve their effectiveness, and analyse our procedures and systems and implement changes to reduce or eliminate risk. I review any complaints to assess if I can deal with them to avoid compensation payments, or whether they need to be escalated to the Internal Dispute Resolution Procedure (IDRP). I also ascertain whether procedural changes will avoid similar complaints re-occurring. Although I am not often involved in processing casework, I am the escalation point for complex casework. As part of the management team, I provide feedback on STC’s business plans and company structure; and have an input to future resourcing requirements. As a manager, I ensure there is a good rapport between myself and the team and amongst the team members themselves and my team interact and work well with others in the company. I achieve this by having open channels of communication; creating a pleasant environment for the team to work in, alleviating stress by ensuring work levels are balanced, and always being approachable. I have regular one on one meetings with team members, and conduct appraisals. I now have seven direct reports.
Care Team Leader
In April 2016, the benefit structure of the SAUL Plan changed so the vast majority of members accrued future benefits on a CARE basis - we referred to this as Benefit Reform (BR). Prior to this - the scheme had to sections; the Final Salary Plan (which was largely closed to new members) and the CARE Plan. I was responsible for organising the administration of the CARE Plan and during this time the team I was managing increased from three direct reports to nine at its height. On top of managing the business as usual workload, I had a heavy involvement in various projects; firstly regarding changing our administration platform from the Pensions Office (PO2) administration system to our new administration system, UPM; and then making necessary changes to UPM so ensure benefits were be calculated on the new basis following BR. I was responsible for organising a UAT team. My role included reviewing test matrices to ensure we have an adequate breadth of test cases, performing UAT, reviewing issues, negotiating whether issues are fixable or put out of scope, and final sign off. Tight deadlines mean organisational skills and inspiring team motivation was key. Additionally, I signed off process and calculation specifications, provided feedback on letter templates and prepared Change Request Documents. I am always analytical when using UPM and constantly try to identify enhancements, and I encourage my team to do the same.Part of my role was to assist in the administration of one of STC’s Clients; I checked work, prepared the quarterly reports, and worked on an equalisation project. I also liaised directly with the Client to ensure we were meeting their needs.
Senior Care Technician
I was responsible for the majority of the administration of the CARE Plan. This included setting up manual calculation templates and processing methods. I also assisted in the administration of the FS Plan. I was involved in calculation and process specifications as we moved administration platforms. I suggested system improvements and proposed solutions for problems to ensure a user-friendly system.I was involved in the running and general management of the team, and discussing and implementing ideas for business as usual procedures. I trained junior team members and assisted other seniors.
Senior Pensions Administrator
Working on internal systems, I administered three complex pension schemes which combined FS, CARE and DC elements. One scheme was in the process of winding up. Main activities involved checking the work of pensions administrators – manual calculations, letter writing (some manual), record updates, and contribution investments and disinvestments. I provided training and allocated workload. I was also involved in data cleansing exercises under the Regulator’s requirements for record keeping; and preparing scheme reports. All of this was done in compliance with the company’s SLAs.The largest scheme that I worked was an extremely complex hybrid scheme, I produced a wide range of Pro Formas to ensure administrators had a set procedure to follow when performing manual calculations. This improved accuracy and facilitated faster turnaround times. The Pro Formas became training tools and a template for subsequently developed auto calculations.
